New Features

For more information about our most recent major release and new features, see Kube v20 March 2025. This release additionally introduces the following new features:

  • Bookings: The discount fields have been enhanced. The discount fields support both percentage and flat-amount discounts. For more information, see Making a short-term booking and Making a long-term booking.

  • Credit Notes: The option to clone charges from a credit note has been added. For more information, see Cloning credit note charges.

  • Day Pass Check-Ins: The option to check in a member to an open desk space for a future date has been added. For more information, see Checking in a coworking pass member.

  • Email Campaigns: The Email Campaigns Dashboard has been updated to lazy load the campaign records to improve load times for the page.

  • Email Templates: A language selector has been added to all default email templates in Kube. Each default template has been translated into the currently supported languages. For more information, see Reviewing and editing email templates.

  • Member Portal: A new home page option has been added. You can add up to ten external links to the Member Portal Home Page. For more information, see Adding an external link to the Member Portal.

  • Open Desk Check-Ins: The option to allow future check-ins for an Open Desk space is available. For more information about setting this option, see Setting booking options and Managing Open Desk seat check-ins.

  • Reports: The Bank Register reports have been updated. A Summary and a Detail report have been added, and Service Fee amounts are now clearly listed for each deposited amount. These service fees are also displayed on the Bank Deposits screen. For more information, see Bank Register Report overview and Reviewing and Editing a bank deposit.

  • Workflows: A new contract workflow is available. A new workflow called Payment Requirements has been added. This allows your organization to control which amenities require payment before a contract can be electronically signed via ySign Express and automatically activated. For more information, see Adding a payment requirements workflow.

Updates

We have updated the following features in Kube and increased the stability and security of existing Kube features as we continue to improve Kube:

Access Control

  • Door access for bookings has been updated. If a booking is made within 30 minutes of the start time, the door becomes accessible immediately.

Bookings

  • A new system setting for bookings is available. You can select whether bookings are cancelled if a company has no active memberships. For more information, see Setting booking options.

Check-Ins

  • The Renewal Check-Ins details menu has been updated. The menu includes additional contract details, the link for the Company Snapshot, and sections for previous check-ins.

Companies

  • The company history has been updated to include the following activity: bans and unbans, suspensions, and changes to the company card access setting.

  • A download option has been added to the Security Deposit Company Ledger. For more information about the Security Deposit Company Ledger, see Security Deposit Company Ledger screen overview.

Contracts

  • Price escalation calculations have been updated. If a contract's start date is the 2nd of the month or later, the next escalation date will be the base date plus one month. For example, if the contract start date is November 15th, and the escalation period is every twelve months, the next price escalation date will be December 1st instead of November 1st.

  • The ySign Express template tokens have been updated to include the company and contract custom fields. For more information, see ySign Express template token list.

Customer Portals

  • A new Get In Touch option has been added to the Building Information page in the Prospect Portal. This button streamlines property inquiries instead of restricting prospects to only inquiring about spaces and amenities.

  • Additional updates have been made to the design and flow of the member portal to improve user experience. Updates include page redesigns, an Additional Contacts section on the Building Information menu, and updates to the payment flow for invoices. For more information about adding additional contacts to a property, see Adding additional contacts to a property.

Dashboards

  • An additional property quick search filter has been added to the Space Availability Dashboard. For more information about the Space Availability Dashboard, see Space Availability Dashboard overview.

Receivables

  • If your organization uses the Discount Charge Code service, custom open charges can be created with a 100% discount applied.

Miscellaneous

  • Quality-of-life updates have been made to Floor Plans, including visual loading indicators.

  • The company and member results in the Global Search have been updated. The company results include a Spaces column, and the member results include a Memberships column.

  • The Event Inquiry Activity Type from the Activity Feed has been updated to include additional fields. Event Inquiry activities can track whether the event was hosted by a third party, the number of attendees, and the status. For more information, see Logging an activity in the Activity Feed.

  • A new unit of measurement, Tsubo, has been added. This unit of measurement can be selected for Japanese properties.

  • Permissions have been added for the company and member Company Card Access settings.

  • The Spaces, Amenities, Quick Trans, Amenity Charges, and Contracts imports have all been updated to import as background tasks. For large imports, you can leave the page and return later to check the status. For more information, see Importing data into Kube.

  • The file attachment for credit notes has been replaced with a link in the email instead. This helps with delivery to mail clients who may restrict email attachments. For more information about email templates, see Reviewing and editing email templates.
