Imports allow you to bulk import data for multiple companies, members, leads, contacts, spaces, amenities, property holiday schedules, charges (quick trans), amenity charges, telephone numbers, contracts, voice services, or custom security deposit charges at one time. Using the import function saves you time when you need to enter multiple records into Kube.
You must complete the System Settings onboarding process and add your properties before you can complete the import process. When you import data, move through the list of imports from top to bottom, as imports lower on the list rely upon information imported in items higher on the list.
For example, you must have companies available when importing members, leads, and contacts. Completing the companies import before the members, leads, and contacts imports resolves dependency issues you might encounter if you started with members, leads, or contacts. For more information, see Data import dependencies.
NOTES:
Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.
You cannot import members, leads, or contacts to the operator's internal company.
Kube sends the Sign Up email to all imported members. If you do not want Kube to send the emails, deactivate the email template at the properties you do not want emails to send from. For more information, see Reviewing and editing email templates.
TIP: If you are migrating from the legacy system, complete any empty required fields before importing. For more information, see Migrating data from the legacy portal to Kube.
To import data
Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.
Select Imports in the side menu.
Click the Select button next to the type of data you want to import. The Import section appears.
Click the Export Template button to download the import template.
Open the Excel file and enable editing.
Populate the Excel file with your organization's data and save the Excel file.
TIPS:
See the Tips tab in the Excel file for explanations of the different fields. The Sample tab in the Excel file shows examples of completed import entries.
You can import up to 500 records. You can enter a maximum of 40 characters into a single field and up to two decimal places in fields that allow decimal entries.
In Kube, drag and drop your file onto the Drop Files Here field or click the Choose File button to select your file. Kube uploads the file.
If the import is successful, a confirmation message appears. If you do not see a confirmation message, continue to Step 9.
In the Import Log section of the screen, Kube displays any errors in the Excel file that prevented the import from completing. Correct the errors in the Excel file and repeat the above process for saving and uploading the file.
