Managing Open Desk seat check-ins

You can check in members using day pass amenities to track their open desk usage and to update the number of available open desk seats at a property. For more information about setting up day pass amenities, see Adding a day pass amenity.

Open desks can be checked into for the current date or a future date if your organization has set up future check-ins. For more information, see Setting booking options. Check-ins are automatically checked out at the end of the day, but can also be manually checked out.

This article describes the various areas where you can check in a member, and how to manage those check-ins.

NOTES:

  • If your organization does not use coworking check-ins, Kube does not show the check-in options screens or day pass amenities.

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

Checking a member into an open desk from the Community Dashboard

  1. Click the Home button towards the top left. The Community Dashboard Overview Page appears.


    TIP: If you have set your default home page to one of the other dashboards, use the Dashboard Picker in the top right to select the Community Dashboard.


  2. Click the Add button, and select Day Pass Check In from the drop-down menu.


    TIP: Use the property picker to the right of the Add button to switch between properties. The member will be checked into the Open Desk space at the property selected here.


  3. Complete the fields.


    TIPS:


    Check-In Date

    Select the date the member will be using the open desk space. Select the current date to check the member in immediately. This field only appears if your organization is set up to allow future check-ins. For more information, see Setting booking options.


    Available Desks

    Total number of open desks available at the property to check a member into for the date selected. If future check-ins are not set up, the count is for the current date.


    Company

    Select the company the member belongs to.


    Member

    Select the member checking in.


    Company Passes Available

    Number of day passes available to check the member in. The pass is only consumed once the member is checked in.

    Number of day passes available to check the member in.


  4. Click Check In.

Checking a member in at the property level

  1. Select Properties in the top menu.

  2. Locate the property in the grid and click the property's name. The Spaces screen appears.

  3. Select Coworking Passes in the side menu.

  4. Click the Check In button.

  5. Complete the fields.


    TIPS:


    Check-In Date

    Available Desks

  6. Click Check In.


    NOTE: After you click the Check In button, Kube continues to show the Coworking Pass Check In screen with the same company selected in case you need to check in multiple members from the same company.


Checking a member into an open desk from the Bookings menu

  1. Select Bookings in the top menu.

  2. Select Card View towards the upper left of the screen.

  3. Select Daily from the Booking Type drop-down menu.

  4. Locate the Open Desk space in the grid. Click Check In.

  5. The Add Check In prompt appears. Complete the fields.

  7. Click Check In.

Managing a members check in

If a member is checked into an open desk space for a future date, you can edit or cancel the check-in. This section describes these steps.

  1. Click the Home button towards the top left. The Community Dashboard Overview Page appears.


    TIP: If you have set your default home page to one of the other dashboards, use the Dashboard Picker in the top right to select the Community Dashboard.


  2. Locate the Calendar tile and click Day Pass Check-Ins.


    TIP: Use the property picker located next to the Add button to switch between properties and use the date filters located above the tiles to switch between dates and time range views.


  3. Locate the check-in you want to manage in the grid and click the three-dot additional options button.

    1. Select Edit from the drop-down to change the details of the check-in.

    2. Select Cancel to remove the check-in and release consumed day passes back to the company or member.


    NOTE: If the status of the check-in is Checked In, the only option that appears in the additional options menu is Check Out.


  4. Kube updates the status column.

Manually checking out a member from an open desk at the property level

NOTE: If you do not check out a member, Kube automatically checks out all members each night when the Check Out Coworking Passes scheduled tasks run. For more information, see Scheduled Tasks.

  1. Select Properties in the top menu.

  2. Locate the property in the grid and click the property's name. The Property Spaces screen appears.

  3. Select Coworking Passes in the side menu.

  4. Click the number of checked-in members next to the Currently Checked In field.

  5. Click the Check Out button next to the member's name.


    CAUTION: After you check out a member, you cannot check them back in that day using the same coworking pass.
