Kube allows you to set various booking controls for your organization. This article covers the booking settings and their functions.
NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.
To set booking options
Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.
Select the Settings tab.
Click the Edit button.
In the Booking Settings section, make your selections. See the end of this article for a screen reference.
Click Save.

Default View for Bookings | Select whether the Card view or Calendar view loads first when viewing the Bookings Menu. For more information about the Bookings Menu, Bookings menu screen overview. |
Allow Members to Make Duplicate Bookings | Select whether a member is allowed to make duplicate bookings for a space that has multiple seats. |
Allow to Book in Past | Select whether internal users are allowed to make bookings in the past that are within the current billing cycle. |
Adjust Booking Overages | Select whether bookings with overage costs should be automatically adjusted to use credits that become available either through a cancelled booking or if more credits are added. This setting only appears for operators set up to use credits.
NOTE: Kube does not automatically apply credits that become available to bookings with a flat rate currency discount applied. |
Archive Canceled Booking Charges | Select whether the charges from Bill Later bookings should be automatically archived when the booking is canceled, and the remaining balance from the booking is zero. |
Cancel Future Bookings (Company/Member Archive) | Turn this option on to automatically cancel all future bookings when a company or member is archived. NOTE: Kube only cancels bookings for the archived member. Otherwise, in the case of a company being archived, Kube cancels all bookings related to that company. |
Cancel Future Bookings (No Contract) | Turn this option on to cancel all future bookings for a company when they no longer have any active contracts. |
Cancel Future Bookings (No Membership) | Turn this option on to cancel all future bookings for a company when they no longer have any active memberships. |
Require Active Membership For Booking | Select whether only members with an active membership can make bookings. If a member's membership has a future active date, Kube allows the member to make future bookings from that date onwards. This setting does not apply to prospects making a booking in the Prospect Portal. |
Allow Future Day Pass Check Ins | Set this option to 'Yes' to allow check-ins to Open Desks for future dates.
NOTE: Setting this option to 'Yes' also allows members to check into an open desk space in their Member Portal. Otherwise, check-ins are managed in your organization's operator portal. For more information about check-ins, see Managing Open Desk seat check-ins and for members, Checking in using a daypass. If you want to use future check-ins, but limit members from checking themselves in, use the Company Access setting at the space level. For more information, see Setting whether a space is private. |
