Archiving and activating a member

Updated over 4 months ago

You can archive a member to make the member inactive, which revokes the member's Member Portal login credentials and prevents internal users from making bookings for and assigning services to the member. You cannot archive a member with active services, bookings, pending amenity configurations, or a member who is the primary contact of a company. To update a primary contact, see Updating a company's primary contact.

You can also activate archived members to reinstate them. Once active, the member can log in to the Member Portal and internal users can make bookings for and can assign services to the member.

NOTE:

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • You cannot archive a member if they are a company's primary contact. Assign a new primary contact and archive the member again. For more information, see Updating a company's primary contact.

To archive and activate a member

  1. Select Customers in the top menu and select Members from the drop-down menu.

  2. To archive a member, locate the member in the grid and click the Additional Options button next to the member's name.

    1. Click Archive in the drop-down menu. A confirmation prompt appears.

    2. Click OK.

NOTE: If a second confirmation prompt appears, the member has active services, bookings, pending amenity configurations, or is the primary contact. Address the items on the list and archive the member again.

  3. To activate a member, switch to Archived using the toggle located towards the top right of the data grid.

    1. Locate the member in the grid and click the Additional Options button next to the member's name.

    2. Click Activate in the drop-down menu. A confirmation request appears.

    3. Click OK.

TIP: If you are viewing a member record, you can also archive and activate the member from the Essentials menu by clicking the Archive or Activate button located towards the top right corner of the menu.
