Adding Membership amendment workflows

Members and internal users can add and upgrade memberships without manually amending a contract with the Member Self Serve feature. Membership amendment workflows can be configured to control the maximum number of memberships allowed, the amendment type, and the document template used.

This article describes adding membership amendment workflows.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.

To add an Add Memberships workflow

The Add Memberships is part of the Member Self-Serve feature. When an Add Membership workflow is set up, an Add option appears next to Memberships that have all been assigned. This workflow controls which memberships are eligible, the resulting contract amendment type, the communication document template, and which portals the option appears in.

  1. Select your Personal Profile in the top menu and select System Settings in the drop-down menu. The Operator Profile screen appears.

  2. Select Workflows in the side menu. The Contract Approvals screen appears.

  3. Select the Amendments tab, then the Memberships tab. The Add Memberships menu appears.

  4. Click the Add button for either the Operator or Property. The Add Memberships Workflow menu appears.


    TIP: The process for adding an operator or property workflow is almost identical. Differences are noted in the Add Memberships Workflow Screen Reference at the end of this section.


  5. Complete the fields. For field descriptions, see the Add Memberships Workflow Screen Reference at the end of this section.

  6. Click Save.

Property

Select the properties or property list that the memberships workflow applies to. This field does not show for the operator-level memberships workflow.

Memberships

Select the membership types that the Add option appears on when all of a company's memberships have been assigned. This field appears after selecting a property. For more information about adding additional memberships, see Adding additional memberships.

Amendment Type

Select the amendment type that gets automatically applied to the contract amendment. For more information about adding contract and amendment types, see Adding a contract type.

Document Template

Select the template that is automatically set at the Communicate stage gate. For more information about adding a contract template, see Creating a custom contract template and Creating a custom invoice template.

Applies to

Select whether the workflow rules apply to the Operator Portal, Member Portal, or both.

For example, if you select only Member Portal, the Add option will only appear in the Member Portal on the Teams menu. For more information, see Adding additional memberships.

Apply Membership Cap

Select this option if the number of memberships should be limited by the total space capacity a company has at a property.

Space Capacity Multiplier

The number entered is multiplied by the total space capacity a company has at a property, and the result determines the maximum number of memberships allowed.

To add an Upgrade Memberships workflow

The Upgrade Memberships is part of the Member Self-Serve feature. When an Add Membership workflow is set up, an Upgrade option appears next to Memberships that have an eligible upgrade path. This workflow controls which memberships are eligible, the resulting contract amendment type, and the communication document template.

  1. Select your Personal Profile in the top menu and select System Settings in the drop-down menu. The Operator Profile screen appears.

  2. Select Workflows in the side menu. The Contract Approvals screen appears.

  3. Select the Amendments tab, then the Memberships tab. The Add Memberships menu appears. Select the Upgrade Memberships tab.

  4. Click the Add button for either the Operator or Property. The Upgrade Memberships Workflow menu appears.

Property

Select the properties or property list that the memberships workflow applies to. This field does not show for the operator-level memberships workflow.

Memberships

Select the membership types eligible for upgrade. The Upgrade option only appears for memberships selected in these workflows. This field appears after selecting a property.

Amendment Type

Document Template
