Managing available terms for self-renewals

The self-renewal feature provides renewal options directly to members in the Member Portal. This feature provides configuration options that let your organization control contract terms, price increases, and discounts for space and amenity types.

The options that appear in the Member Portal are called Available Terms. Members select a renewal term, and the self-renewal configuration determines which price adjustment applies. If no matching configuration is found, no price adjustment is applied, and the member continues to pay their current price for the selected term.

This article explains how to add and manage the term options that appear in the Member Portal.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

To add an available term

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.

  2. Select Self-Renewal in the side menu. The Configuration menu appears.

  3. Select the Available Terms tab.

  4. Select Add. A new row appears at the top of the list.

  5. Select a Current Term and New Term value.

  6. Select whether the term is Active.

  7. Click the save button to add the new row.

Current Term

Enter the contract term as a whole number of months. The value represents the upper limit of the range.

For example, if contracts with a current term of 1–3 months should have an option to renew for 6 months, enter 3 in this field.

NOTE: Select Any for values greater than the highest defined range. See below for an example.

New Term

Select Contract's Current Term to allow members to renew for their existing contract term. Otherwise, enter the renewal term as a whole number of months.

TIP: To make multiple renewal terms available for a current contract term, create one Available Terms record for each renewal term option. For example, to offer 6-, 12-, and 24-month renewal terms to members whose current contract term is 1–3 months, create three records with a Current Term value of 3, one for each New Term value.

To hide an available term

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.

  2. Select Self-Renewal in the side menu. The Configuration menu appears.

  3. Select the Available Terms tab.

  4. In the Active column, click the toggle button.

  5. Kube saves the changes automatically.
