Self-renewal configurations

The self-renewal feature offers renewal options directly to members in their member portal. This feature provides configuration options that let your organization control contract terms, price increases, and discounts for space and amenity types.

Self-renewals can be customized to meet your organization's needs based on amenities, spaces, and contract terms.

This article explains how to download and import the configuration file, as well as defines the configuration fields.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

To download and import the self-renewal configuration file

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.

  2. Select Self-Renewal in the side menu. The Configuration menu appears.

  3. Select Export Configuration. A copy of the file downloads to your device.

  4. Locate the file on your device and open it. Complete the required columns. See the section below for column descriptions.


    TIP: Save an additional copy of the original if the configuration needs to be reverted. The file name includes the date and time in UTC when it was downloaded.


  5. Save the file. Back in Kube, on the Configuration menu, click Import Configuration.

  6. Drag the configuration file to the upload area.

  7. Click Upload. Kube automatically processes the updates.

Self-renewal configuration file field definitions

do_update

Delete this column if all rows should be updated. Otherwise, enter 1 in the row to update the record. Rows without a value of 1 are ignored.

country_code

Optionally, configure the rule by country instead of by property. If this field is used instead of the property_id field, the configuration applies to all properties in the country entered here. For a list of country codes, see the end of this article.

property_id

Enter the Property ID that the configuration applies to. Enter Any to apply the rule to all properties. If the configuration should apply to certain countries instead of properties, use the country_code column.

property_name

Optional. Enter the property name for reference only. This value isn't used to validate or process the import.

property_uuid

Optional. Enter the property UUID for reference only. This value isn't used to validate or process the import.

types

Determines what the configuration applies to. The configuration can apply to all space types, all amenity types, specific space types, or specific amenity types.

  • To apply the rule to all space types, enter Spaces.

    • For any space capacity, enter Any in the capacity_max column. Otherwise, to define ranges, enter a whole number in the capacity_max column. For more information about capacities and ranges, see the capacity_max definition and the Capacity range explanation section.

  • To apply the rule to all amenity types, enter Amenities.

    • Enter 0 in the capacity_max column.

  • For specific space types, enter a comma-separated list of space types found in the System Settings > Custom Fields > Spaces. For more information, see Adding a space type.

    • For any space capacity, enter Any in the capacity_max column. Otherwise, to define ranges, enter a whole number in the capacity_max column. For more information about capacities and ranges, see the capacity_max definition and the Capacity range explanation section.

  • For specific amenity types, enter a comma-separated list of amenity types. Available types include Standard, Package, Booking Units, Coworking, Data/WiFi, Voice, Memberships, and Access Control.

    • 0 must be entered in the capacity_max column.

capacity_max

Determines the capacity range to which the configuration applies. Each row defines the upper limit of a capacity range. The next row begins at the next capacity value after the previous row's capacity_max.

  • For multiple ranges, enter the lowest capacity range first. Create a new row for each additional range.

  • For capacities above the highest defined range, enter Any

  • For amenities, you must enter 0.

  • See the Capacity range explanation section for more information.

<contract_term>|<new_term>|<base_price_type>

This column defines the price adjustment to apply. Enter the current contract term, the new term, and the price type affected by the configuration. In the rows below, enter the percentage or fixed amount for the adjustment. See the section below for an example.

  • For <contract_term>, enter it as a whole number of months.

  • For <new_term>, enter it as a whole number of months.

  • Enter Base or Net for <base_price_type>. Base applies the discount or increase to the current list price. Net applies the discount or increase to the member's current contracted price.

  • After completing the parts, the column header should look like this:

    • 6|12|net

    • See the Self-renewal configuration file example section for more information.

NOTE: The <contract_term> and <new_term> values define ranges. The number entered is the upper limit of the range. In the example 6|12|net, ranges are 1-6 months for the current term and 1-12 months for the new term. To create a pricing adjustment for terms longer than 12 months, create the rule 6|any|net. Use Any for values greater than the highest defined range.

Self-renewal configuration file example

Each pricing column is formatted as <contract_term>|<new_term>|<base_price_type>. See the Self-renewal configuration file field definitions section for more information.

For example, the any|any|net price adjustment would apply to a contract with a Board Room (Capacity 45) and a current 15-month term.

Range explanation example:

A Board Room at Property B has a capacity of 45.

  • The first Board Room/Meeting Room rule applies only to capacities 1-15.

  • The second Board Room/Meeting Room rule applies only to capacities 16-20.

  • The third Board Room rule applies to capacities 21-50.

Because the space capacity is 45, the third rule applies.
