Applying credit notes to invoices

A credit note is generated to offset either a partial amount or the full amount of an invoice. A credit note is sent to a member to show that the amount to be paid has been reduced. When a credit note is manually created, Kube marks the credit note as Unallocated.

This article describes applying a credit note to an invoice with a balance due.

Applying a credit note to an invoice

  1. Select Receivables in the top menu and select Apply Credits from the drop-down menu.

  2. Select a Company and/or Property from the screen filters at the top of the screen. Credit Note records appear.


    NOTE: Credit note records only appear if there are unpaid invoice records.


  3. Locate the credit note in the grid and click the credit number to expand it and view the available credits.


    TIP: Click the Select All button to select all available credits, click Clear All to start the selection process over, or click the Select and Clear buttons on individual credit notes to select which credits appear on the next screen. Kube selects all available credits by default, and discounts cannot be cleared from the selection.


  4. Click Next.

    1. Click on an invoice number to expand and view the outstanding balance.

    2. Select the charges to apply the previously selected credits to.


      TIP: Click Select All to apply the credit in the order of the oldest to the newest invoiced charges. Discounts cannot be deselected and are automatically applied.


  5. Click Apply. Kube automatically creates a zero payment receipt.


    CAUTION: There is no confirmation prompt to confirm your selections. Ensure you have selected the correct charges or invoices to apply the credit to before clicking Apply.
