Adding a space to a contract

Contracts are agreements with your companies that charge them for products and services your organization offers. You can add spaces, packages, amenities, and custom charges to contracts. Spaces on contracts add monthly recurring charges that you can customize.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.

To add spaces to a contract

  1. Select Spaces in the Products & Services section in the side menu.


    NOTE: If you need to create a contract, see Creating a contract.


  2. Locate the space you want to add to the contract in the grid and click the Add to Contract button.


    NOTE: If you do not see a space listed, verify that the space is not included in a short-term booking, an active or future contract, and that you have monthly pricing set. For more information, see Adding space pricing.


  3. If you want to customize the pricing for a space, click the Edit button next to the space. The Space Pricing screen appears.

    1. Complete the fields. For field descriptions, see the Space Pricing Screen Reference at the end of this article.

    2. Click Save.

  4. Once you have completed adding spaces, click Next Step. The Packages listing appears. For more information, see Adding products and services to a contract.

TIP: If there is nothing further you want to add to the contract, click Activate to progress to the activate stage and menu of the contract. Note that this button might appear as Request Approval depending on whether your organization uses approvals. For more information about approvals, see Requesting contract approval.

Space Pricing Screen Reference

Summary Section

Action: Add or remove the space from the contract. This button dynamically updates.

Contract: Automatically adjusts based on the price set in the fields below. Displays Custom when custom pricing is selected.

Retail: Displays the non-member price of the space.

Renewal: Displays the renewal value of the space. This value only appears if you are subscribed to the Pricing Management service. For more information, see Pricing Management.

Market: Displays the market value of the space. This value only appears if you are subscribed to the Pricing Management service. For more information, see Pricing Management.

Security Deposit: Displays the security deposit set for the space. Dynamically updates to reflect changes made in the pricing section.

Setup: Displays the setup fee set for the space. Dynamically updates to reflect changes made in the pricing section.

Pricing Section

Promotion: Enter a promotion code to view and optionally apply the range of pre-approved discounts for the space. If a promotion is set to automatically apply, it appears in this field but can be changed. For more information about promotions, see Adding a space promotion.

Price adjustments that exceed the approved discounts may be subject to approval. For more information about contract approvals, see Contract approval flow overview.

Simple Pricing: Select from either No Discount, Approved, Discount, Increase, or Manual to adjust the space's price. Select Discount or Increase to adjust the price based on a percentage or flat dollar amount. Some price adjustments may be subject to approval. For more information, see Contract approval flow overview.

NOTE: The price adjustments made in this field do not affect the security deposit or setup fee amounts.

Custom Pricing: You can add different steps that adjust the price of the amenity during the month or months you select. Click the Add Step button to add multiple steps throughout the term of the contract. Select Discount or Increase to adjust the price based on a percentage or flat dollar amount. Click the Delete button to remove a step.

TIP: If the term of the contract is adjusted or the contract is amended, the custom pricing dates adjust accordingly.
