Adding a promotion

Promotions are a pre-approved range of discounts that can be applied to spaces and amenities when they are added to a contract. Promotions do not automatically apply a discount to a space or amenity. When a promotion is used in a contract, and a discount within that promotion's range is applied, contract approvals are ignored. You can customize promotions to limit what the promotion applies to and whether the promotion is added automatically.

This article describes adding a promotion.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

TIP: When adding a promotion, you can copy data from an existing active or archived promotion. Locate the promotion you would like to copy and click the Additional Options button. Select Copy from the drop-down menu. The New Promotion screen appears with the fields populated according to selections made in the original promotion. If the original promotion's end date is in the past, you must enter a new end date.

To add a promotion

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.

  2. Select Coupons & Promotions in the side menu. The Coupons menu appears.

  3. Select the Promotions tab.

  4. Click Add.

  5. Complete the fields. For field descriptions, see the New Promotion Fields Screen Reference at the end of this article.

  6. Click Save.

TIP: You can set a promotion to apply automatically when a space or amenity is added to a contract. Click the edit button and use the selector box in the Auto Apply column.

Promotion Name

For internal reference. The name must be unique and cannot be a previous promotion's name.

Promotion Code

Code that is used to apply the promotion to a space or amenity on a contract. The code is either applied automatically or manually. This code must be unique and cannot have been used previously.

Property

Property or property list where the promotion is valid. The locale options, such as country, disappear if a property is selected.

Occupancy

This field appears when a property list is selected in the Property field. This field limits the use of the promotion to the properties from the list that fall within the occupancy range in this field.

Entering an occupancy range in this field allows the promotion to be dynamically applicable to all the properties in the property list.

Locale

TIP: One or all of these fields can be used to narrow down which properties a promotion is valid at.

Country: The promotion is limited to properties where the country matches what is selected in this field.


Territory: The promotion is limited to properties whose territory matches what is selected in this field. This field only appears if territory custom fields have been added. For more information, see Adding a territory custom field.


Market: The promotion is limited to properties whose market matches what is selected in this field. This field only appears if market custom fields have been added. For more information, see Adding a market custom field.


Region: The promotion is limited to properties whose region matches what is selected in this field. This field only appears if region custom fields have been added. For more information, see Adding a region custom field.

Valid For:

TIP: The fields below update based on the selections made here.

Space Types: Select the types of spaces the promotion is valid for.


Individual Spaces: Select a space the promotion is valid for.


Amenity Types: Select the types of amenities the promotion is valid for. A Subtype field appears for amenity types with multiple subtypes. For example, Memberships.


Individual Amenities: Select an amenity the promotion is valid for.

Space Criteria

NOTE: These options only appear when Space Types or Individual Spaces are selected.

Capacity: Enter a capacity range for spaces that the promotion is valid for.

Example: If the range is set to 1-15 and no other criteria are selected, any spaces with a capacity of 1 through 15 are eligible for the promotion.


Work Units: Enter the work units a space must have to be eligible for the promotion. This field only appears if the work units custom field has been activated. For more information, see Activating space options.


Seat Count: Enter the seat count a space must have to be eligible for the promotion. This field only appears if the seat count custom field has been activated. For more information, see Activating space options.

Start/End Dates

Date range when the coupon is active. The End Date must be the current date or later.

NOTE: Kube archives the coupon after the End Date passes and it expires.

Discount Values

MTM: Enter the maximum percentage and number of free months a space can be discounted on a Month to Month contract before additional approval may be required. For more information about contract approvals, see Contract approval flow overview.

2-60 Months: Enter the maximum percentage and number of free months a space can be discounted based on the term of a contract, before additional approval may be required.

Example: If the Max (%) field is set to 15% and the Free Months field is set to 3 in the 6-11 (M) row, the discount and/or custom pricing on a space can have a cumulative discount total of 15% and three of the months set to Free before additional approval may be required.

  • Space Retail = $100.00

    • $ Discount = $20 (20%)

    • Approval Required (A Contract Approval Workflow must be configured to trigger the approval)
