Uploading a certificate of insurance to the Activity Feed

A certificate of insurance (COI) is a document provided by a customer showing proof they hold a valid business insurance policy. Kube allows you to upload a copy of a company's COI to the Activity Feed. The Activity Feed is a customer relationship management tool that allows you to add notes, tasks, activity logs, files, tours, and events to different records in Kube.

NOTE: The COI option only appears if your organization is subscribed to the COI service. For more information or to add this service, reach out to your account manager.

Kube compiles Activity Feed events, tasks, and tours in the Activity Calendar and all Activity Feed items on the Activity Feed tab. For more information, see Activity Calendar screen overview and Activity Feed.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

To add a COI to the Activity Feed

  1. Select Customers in the top menu and Companies from the drop down.

  2. Locate the user's record in the grid and click the Add/View Activity button.


    TIP: You can also click the Activity Feed tab on the right side of the screen next to the scroll bar if you are already viewing the company you want to add a COI to.


  3. Click the Files tab.

  4. Select a File Type. For more information about file types, see Adding a company file category.


    TIP: The default file category COI can be updated to match your organization's naming conventions.


  5. Select COI from the drop down menu.

  6. Complete the fields. For field descriptions, see the COI Field Descriptions Screen Reference at the end of this article.

  7. Drag your file onto the upload section or click the upload section to select your file.


    NOTE: The upload section only appears after a property has been selected. Only properties with an active contract appear here.


  8. Kube automatically uploads and saves the file. File history appears below.

COI Field Descriptions Screen Reference

File Type

Select COI as the file type. Otherwise, for all other file types, select the type that matches the file you are uploading.

Verified

Activate this option to mark the COI as verified. Otherwise, leave this option deactivated to verify the COI at a later time in the File History.

Expiration Date

Enter the date the COI expires. If the information is unknown, this field can be left empty and added later in the File History.

Property

Choose the property the file belongs to in this field. Only properties the company has an active or in progress contract appear in this field.

File History

Comments: Expose this field by clicking the Add Comment button. Enter comments about the file as desired.

Verified and Expiration Date: Expose this field by clicking the Edit File

button. Use this option to add an expiration date or update whether the COI is verified after the file has been uploaded.

Delete: Expose this button by clicking the Edit File button. Click this button to delete the file.

CAUTION: Once the file is deleted, it cannot be viewed or retrieved.
