Sending an email from the Activity Feed

The Activity Feed is a customer relationship management tool that allows you to add notes, tasks, activity logs, files, tours, and events to different records in Kube. You can also use the Activity Feed to send emails to individual members, leads, and contacts. When you send an email from the Activity Feed, you can use existing custom email templates, or you can enter your own text into the email body field. After you send an email from the Activity Feed, Kube logs the email on the Emails and Activity Feed tabs in the user's Activity Feed. Kube also logs the email on the Activity Feed screen of the company the member, lead, or contact belongs to. You can click View More underneath the email record to view the sent email.

NOTES:

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • If a lead or contact does not have an email address, Kube hides the Email tab in the Activity Feed.

To send an email from the Activity Feed

  1. Select either Customers > Members, Leads, or Contacts in the top menu.

  2. Locate the user's record in the grid and click the Add/View Activity button.


    TIP: You can also access the Activity Feed from the Contacts menu when viewing a company record.


  3. Click the Email tab.

  4. Complete the Email fields. For field descriptions, see the Email Fields Screen Reference at the end of this article.

  5. Enter or edit the email body text in the Content field, as needed.


    NOTES:

    • If you selected an email template in the Template field, Kube populates the email template's text into the Content field. If you did not select a template, enter your own text.

    • You can include tokens in the body of the email that pull in specific and customized data based on the user the email is being sent to. If you have an email signature configured in your Personal Profile, you can add the [Internal User Email Signature] token into the email body to include your signature. For more information, see Email template token list and Creating your email signature.


  6. Below the Content field, select any attachments you want to include in the email.


    NOTE: Kube shows any files uploaded to the Files section of the user's Activity Feed. If you do not see the file you wish to include, upload it to the Files screen. For more information, see Uploading files to the Activity Feed.


  7. Click Send.

Email Fields Screen Reference

Template

Select the template you wish to use for the email, or select None to enter your own text in the Content field. When you select an email template, Kube populates the fields below with data from the template and displays the template's email body text in the Content field. You can edit all of the prefilled data and the email body text.

NOTE: If you have a default email template selected in your Personal Profile, Kube automatically selects that template. If no templates appear, none have been added yet. For more information, see Choosing your default email template and Adding an email template for Activity Feed emails.

Subject

Enter the email subject line.

From

Enter the name that you want to appear as the sender. You can enter an email address or use the [Internal User Name] or [Operator Name] tokens to automatically populate the field.

Reply To

Enter the email address you want user replies sent to. You can manually enter an email address or use the [Internal User Email] or [Operator Email] tokens to automatically populate the field.

CC

If there is an additional email address you would like to receive the email, enter it here. The member, lead, or contact who receives the email can see this email address.

BCC

If there is an additional email address you would like to receive the email, enter it here. The member, lead, or contact who receives the email cannot see this email address.
