In some situations, a limit may need to be set on the number of overage credits a company is allowed to book. This limit can be set for both the company and the member groups. For more information about member groups, see Adding a company member group.
NOTE: This article is intended for organizations that use Credit booking units. Additionally, depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.
When setting an overage limit for the company, the limit set applies to all of the company's members and can be distributed among the member groups. If a limit is only set for one of the member groups, members from other groups still have access to the entire overage limit set for the company. If the member group with the limit set uses its allotted amount, this amount is deducted from the company's overage limit.
CAUTION: Once a company exhausts its credit overage limit, no further bookings can be made by or for the company until the credit overage limit is reset when the scheduled task runs. For more information about scheduled tasks, see Scheduled Tasks.
This article describes setting an overage limit for the company and for member groups.
To set the overage limit for the company
Select Customers in the top menu and select Companies from the drop-down menu.
Locate the company in the grid and click the company's name. The Company Essentials window appears.
NOTE: If you have not added the company yet, see Adding a company.
Click Detailed View. The Company Overview menu appears.
Select Groups & Credits in the side menu.
Click the Edit button and make a selection next to the Set Overage Limit When Booking With Credits.
If set to Yes, the Number of Credits field appears. Enter a numeric value for the number of overage credits a member can book.
Click Save.
To set the overage limit on a member group
Select Customers in the top menu and select Companies from the drop-down menu.
Locate the company in the grid and click the company's name. The Company Essentials window appears.
NOTE: If you have not added the company yet, see Adding a company.
Click Detailed View. The Company Overview menu appears.
Select Groups & Credits in the side menu.
Locate the name of the group in the Member Groups section and click the name. A slide out menu appears.
NOTE: If you have not created a member group yet, see Adding a company member group.
Click Edit.
In the Booking Overage Settings, click the Select button next to the Set Overage Limits for Booking Credits label to turn this feature on. The Number of Credits field appears.
Enter a numeric value for the number of overage credits a member can book.
Note: The number entered in this field must be equal to or less than the number of overage credits set at the company level. If setting limits on multiple member groups, the cumulative total cannot be more than the limit at the company level.
Click Save.
