Setting default company group options

For every new company and member added or imported, Kube uses the company group defaults set at the system level to determine the group settings it selects for new companies and their members. You can manually change the Booking Discount Group setting when you add the company or member, and you can edit all the settings on the company's Groups screen and the member's Groups & Hours screen after you add the company.

You can select defaults for the following settings:

  • Default Booking Discount Group

  • New Company Booking Discount Group

  • 24/7 Booking Group

  • Access to Company Hours/Credits

  • Book With Credits Only (Only applicable to organizations who are set up to use Credits)

  • Access to Company Passes

  • Use Company Hours/Credits before Member Hours/Credits

  • Use Company Passes before Member Passes

CAUTION: Changing the default settings only affects companies you add after saving your changes. Kube does not update the changed settings for existing companies.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

Setting the Company Group Defaults

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.

  2. Select the Settings tab.

  3. Click the Edit button.

  4. In the Company Group Defaults section, make your selections.


    Default Booking Discount Group

    A booking discount group is a label you can assign to companies and members to determine whether members pay retail or member price for spaces when making bookings and whether they receive a discount off of the price they pay. For more information, see Adding a booking discount group.

    NOTE: By default, companies are added to the Member Pricing booking discount group.


    New Company Booking Discount Group

    This field is optional and blank by default. Select a booking discount group in this field if your organization has different pricing and discounts for companies that do not yet have a contract. Once the company has a contract, their booking discount group updates to the selection from the Default Booking Discount Group.     24/7 Booking Group

    A 24/7 booking access group is a label that you can assign to companies and members to give members 24/7 access to your properties and spaces. For more information, see Adding a 24/7 booking access group.


    Access to Company Hours/Credits

    Company Hours are booking units that a company's members can use to make bookings. You can select whether a member will have access to use their companies assigned hours as these hours are separate from member assigned hours.


    Book With Credits Only

    This setting only appears if your organization is set to use Credits. When this option is set to, Yes, currency values for spaces are hidden and only the credit value for the space is displayed. By using this setting, members will only have the option to book a space using their available credits. However, if there are any overages or amenities added, another payment method can be used to pay for the overages.


    Access to Company Passes

    Company Passes allow members to check into an open desk space when one is available. You can select whether a member will have access to use their companies assigned passes as these are separate from member assigned passes.


    Use Company Hours/Credits before Member Hours/Credits

    Company booking units are booking units that a company's members can use to make bookings. Unlike member booking units that are assigned to specific members, company booking units are shared among a company's members. You can control whether a company's members use member or company booking units first when making bookings. If members use company booking units first, they do not use member booking units until all available company booking units have been used.     Use Company Passes before Member Passes

    Company coworking passes are coworking passes that a company's members can use to check in to an open desk space, should a seat be open. Unlike member coworking passes that are assigned to specific members, company coworking passes are shared among a company's members. You can control whether a company's members use member or company coworking passes first when checking in to open desk spaces. If members use company coworking passes first, they do not use member coworking passes until all available company coworking passes have been used.     NOTE: If your organization does not use coworking passes, Kube does not display this option.


  5. Click Save.
