Adding a Data/Wi-Fi amenity

Amenities are products and services that your members and prospects can purchase at your properties. There are multiple types of Data/Wi-Fi Amenities. This article describes each amenity type and how to add a Data/Wi-Fi amenity.

NOTES:

  • If you have not purchased Data/Wi-Fi Services, these amenity types do not appear when adding an amenity.

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

Member Wi-Fi amenity

A member Wi-Fi amenity allows your members to purchase internet connectivity, and for internal users to add member internet connectivity to contracts. Members with Wi-Fi internet access use either the property's default service plan or the internet service plan their company uses, if their company purchased a different service plan. For more information about data service plans, see the Internet service plan data/Wi-Fi amenity section.

Member Wi-Fi is a monthly amenity and must be purchased through a contract.

Internet service plan data/Wi-Fi amenity

An internet service plan is a data/Wi-Fi amenity subtype that controls the upload and download speed that members of your companies are allowed when accessing the internet. You can offer multiple internet service plans at each of your properties that feature different speeds. Your companies can use the default service plan of the property, or they can purchase a different service plan through a contract. They can only use one service plan at a time.

NOTE: Before you can sell internet service plans to your customers, you must first purchase internet service and work with Yardi technical support to install hardware at your properties.

Guest Wi-Fi amenity

A guest Wi-Fi amenity allows your companies or members to purchase internet connectivity for their guests. This amenity also lets you add charges to companies for guest Wi-Fi and to add guest Wi-Fi to contracts as a one-time amenity.

When you create a guest Wi-Fi amenity, you select how long the guest can connect to the internet from the guest's first login.

NOTE: If you allow guests to connect multiple devices with a single guest Wi-Fi purchase, the duration of the guest Wi-Fi amenity starts individually for each device at the time the device is connected. For example, if you configure the guest Wi-Fi amenity to last 5 days and a guest connects a second device two days after they connect their first device, the second device will still have 5 days of Wi-Fi connectivity, even though the guest already had 2 days of Wi-Fi connectivity on a different device.

Guests also have the option of self-subscribing to Wi-Fi using the self-subscribe screen that appears on their device when they try to connect to your guest Wi-Fi network without making a purchase. Guest self-subscription Wi-Fi is often free, but it expires each night at midnight. Self-subscribe users must reconnect each day they want to use the free Wi-Fi. Additionally, guest Wi-Fi networks commonly offer much slower internet connections than those of purchasable guest Wi-Fi amenities.

Guests with Wi-Fi internet access use the guest internet service plan specified on the property's Special VLAN screen, depending on whether they self-subscribed to complimentary Wi-Fi or purchased guest Wi-Fi.

Public IP data/Wi-Fi amenity

A public IP amenity allows members and companies to manage their own private networks by opening a port or ports in the firewall and by tagging the member's or company's internet traffic to the public IP. Once purchased, you can further configure public IPs on the company's Public IP screen to specify how Kube should manage internet traffic for the public IP address.

TIP: After a company purchases a public IP, you must assign it to a specific IP address through the amenity configuration process. You can further configure the public IP from the company's Public IP screen. For more information, see Configuring data/Wi-Fi amenities and Additionally configuring a company public IP address.

Adding a Data/Wi-Fi Amenity

  1. Select Properties in the top menu.

  2. Locate the property in the grid and click the property's name. The Property Spaces screen appears.

  3. Select Setup in the side menu and select the Amenities tab.

  4. Click the Add button.

  5. Select Data/Wi-Fi in the Type field.

  6. Select which Data/Wi-Fi amenity subtype you want to create.

  7. Complete the fields from the General Information, Pricing Information, Online Settings, and the optional Advanced Options sections. For field descriptions, see the end of this article.

  8. Click Save.

Data/Wi-Fi amenity field descriptions

General Section

Type

Select Data/Wi-Fi to add a Wi-Fi amenity.

CAUTION: This field cannot be edited after saving.

Subtype

Select from Internet Service Plan, Member Wi-Fi, Guest Wi-Fi, or Public IP.

CAUTION: This field cannot be edited after saving.

NOTE: Different fields appear based on this selection and are noted below.

Name

Name of the amenity that your customers see.

Description

Description of the amenity for internal use. Customers do not see this description.

Charge Code

Charge code that charges for this amenity charge to.

NOTE: If the amenity price includes a setup fee or security deposit, you can select unique charge codes for those charge types in the Advanced Options section. For more information about charge codes, see Default charge codes.

Icon

Small preset image that is displayed next to the amenity in Kube.

Number of Devices

This option appears when the subtypes Member Wi-Fi or Guest Wi-Fi are selected. This option sets how many devices can be connected to the Wi-Fi using this amenity. The number of devices cannot be shared among multiple members or with guests.

Allotted Hours

This field appears when the subtype Member Wi-Fi is selected. Optionally set the number of hours a member has to use the Wi-Fi when assigned the amenity.

Duration and Period

This field appears when the subtype Guest Wi-Fi is selected. In these fields, set how many hours, days, weeks, or months you want the guest Wi-Fi to last after the guest logs in on a device for the first time.

Pricing Information Section

Show in Contract

Select whether the amenity is available in contracts.

NOTE: If a monthly amenity is part of an active contract, and this option is later switched to 'No', the amenity remains in the contract unless it is removed via a contract amendment and the amendment is activated.

Show in Open Charges

Select whether this amenity should appear to internal users who do not have permission to create open charges for all amenities.

Free Amenity

Whether the amenity is free or has a cost.

NOTE: If the amenity is free, Kube hides the rest of the pricing options listed below, as they do not apply to a free amenity.

TIP: If the amenity is free, Kube automatically includes the amenity in bookings at this property when you select the amenity on the Booking Amenities screen. Set the amenity price to $0 to allow customers to manually add the amenity to their booking at no cost and to edit the amenity quantity. Occurrence

Data/Wi-Fi amenities can only be monthly with the exception of the Guest Wi-Fi amenity subtype. The One-Time option appears if the subtype Guest Wi-Fi is selected.

Apply Tax

Whether the amenity is taxed.

NOTE: If you use Domestic Tax, you must add taxes to your property before you can add them to an amenity. For more information, see Adding a domestic tax code to a property.

If you use International Tax, this field does not appear. Instead, you can add tax rates in the System Settings section and apply them to GL codes instead of to individual amenities. For more information, see Adding an international tax rate.

TIP: You can add up to five tax codes to a single amenity. Select a tax code from the drop-down menu and click the Add button to add additional tax codes.

Online Settings Section

Publish to ILS

Select whether you want the amenity to appear on Yardi Internet Listing Services you are subscribed to.

EXAMPLE: If you are subscribed to CommercialCafe®, select this option if the amenity should appear here when a prospect searches for and views your property.

NOTE: This option cannot be used with Tiered Pricing where applicable.

ILS Amenity Category

Select the pre-defined amenity category the amenity appears as on Yardi Internet Listing Services (ILS). For example, if you have multiple amenities that fall under the Parking category, Yardi ILS displays Parking as the available amenity when the property listing is viewed.

This field only appears if the Publish to ILS option is selected.

Show Online

Select whether you want to sell the amenity à la carte in the Member Portal and/or the Prospect Portal.

NOTE: If you do not enable either option, Kube hides the rest of the online fields, as they do not apply.

Purchase Options

Select whether customers can purchase the amenity online (Buy Now) or whether they must contact your property for more information (Inquire). If you select Inquire, Kube sends an email to the property's email address when a customer inquires about an amenity. For more information, see Inquire function overview.

NOTE: If your country does not support payment processing, Kube uses Bill Later for member charges. For more information, see Payment processing off overview.

Label

Enter the text you want to appear on the button.

NOTE: You can customize the text for the button. If you want your buttons to be consistent across your different amenities, choose the text you want to use for the Buy Now and Inquire buttons and use the same text for each option every time you create an amenity.

Show Price

Select whether you want to display the amenity price.

NOTE: Selecting 'No' automatically sets the purchase option to Inquire and vice versa.

Plan Details (Internet Service Plan Only)

Service Plan Type

Configuration of the service plan.

A load balance service plan leverages multiple circuits to balance the internet traffic load between available circuits, which maintains fast internet connections for members accessing the internet. Depending on internet traffic, users can use up to the maximum download and upload speeds listed in their plan. Multiple companies can use the same load balance service plan, but the smallest available circuit determines the fastest possible internet connection speed you can list in the service plan.

A single circuit service plan uses only one circuit and confines all internet traffic to that circuit. Available bandwidth is shared among all devices and users from all companies that use this service plan.

A single circuit with guarantee service plan uses only one circuit and confines all internet traffic to that circuit. However, companies using this service plan type are guaranteed the upload and download speeds listed in the plan. The guaranteed bandwidth listed in the plan is shared between company members and devices, so one service plan should be used per company.

Circuit

Which circuit the service plan uses at your property.

NOTE: This field only shows when you select either Single Circuit or Single Circuit with Guarantee in the Service Plan Type selector.

Upload/Download

Upload and download speed of the service plan.

Guaranteed Upload/Download

For Single Circuit with Guarantee service plans, the minimum guaranteed upload/download speeds for companies assigned to the service plan.

NOTE: These fields only show when you select either Single Circuit or Single Circuit with Guarantee in the Service Plan Type selector.

Advanced Options

Advanced Options

Expands the Advanced Options section, which includes custom charge codes and additional booking options.

Credit Charge Code

Charge code that credits (negative charges) for the amenity charge to.

NOTE: This field defaults to the charge code selected in the Charge Code field above, but you can add a different charge code if you want.

Setup Fee Charge Code

Charge code that setup fees for the amenity charge to.

NOTE: This field defaults to the charge code selected for setup fees in System Settings section, but you can add a different charge code if you want. If the amenity does not have a setup fee cost, this field does not appear. For more information, see Setting default system GL accounts and charge codes.

Security Deposit Charge Code

Charge code that security deposit charges for the amenity charge to.

NOTE: This field defaults to the charge code selected for security deposit charges in System Settings section, but you can add a different charge code if you want. You can only enter a security deposit charge code in this field. If the amenity does not have a security deposit cost, this field does not appear. For more information, see Setting default system GL accounts and charge codes.

Category

Choose a category for the amenity from the drop down. The amenity appears under this category when making a booking or purchase in the Prospect and Member Portals. Click the yellow plus (+) add button to add a new amenity category.

Discount Charge Code

Charge code that discounts applied to the amenity is charged to. This field does not show if the discount charge code service has not been activated.

Discount Charge Description

Defaults to the description assigned to the selected discount charge code. For more information on discount charge codes, see Setting discount charge codes.

Tax Offset When Sold Monthly

The monthly amount that is not taxed.

EXAMPLE: If 25.00 is specified in this field, and the total monthly amount of the amenity is 100.00, only 75.00 of that 100.00 will be taxed monthly.
