Customizing user fields

You can add up to 20 custom fields to member, lead, and contact records. These fields can store information specific to the member, lead, or contract or information required for your organization. When you use custom user fields, you specify the field name and data type in the System Settings. Kube then displays these custom fields for each contact, lead, and member in the Custom Fields menu. NOTE: Kube only displays fields that you have customized. For example, if you customize two custom fields, Kube only displays two fields in the Custom Fields menu for your customer.

CAUTION: Once a custom field data type is selected and the field has been used, this selection cannot be changed. If you would like to update a data type, please reach out to Yardi technical support.

To customize a user field

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Details screen appears.

  2. Select Custom Fields in the side menu and select the CRM and User Custom Fields tabs.

  3. Click the Edit button.

  4. Enter your custom field names into the fields you want to customize and select a data type. See the end of this article for a screen reference.

  5. Click Save.

Custom Field

Displays the order custom fields appear in the Custom Field menu of a contact, lead, and member.

Label Text

The text entered in this field appears as the label for the custom field in the Custom Field menu of a contact, lead, and member.

Data Type

Select the data type the field should support when users add information to the field. The following data types are available:

  • List: Creates a dropdown list of the values entered in the List Values column. See List Values for the required format.

  • Text: Creates a field that accepts alphanumeric text values.

  • Date: Creates a date picker field.

  • Checkbox: Creates a selector box that can be selected or de-selected to indicate 'yes' or 'no'.

  • Number: Creates a field that accepts only numeric digits.

CAUTION: This selection cannot be changed once the field is used. To change a data type, please reach out to Yardi technical support.

Decimal Places

This option only becomes active if the Number data type is selected. This field allows you to enter a numeric value for how many decimal places the number field supports. If only whole numbers should be entered, enter 0 into this field.

Mandatory

Select whether the custom field is required before the page can be saved. Kube indicates if the field is required with a red asterisk (*).

Query

This column only appears if a custom list query has been created. For assistance creating a list using a query, please reach out to Yardi technical support.

List Values

This field becomes active when the List data type is selected. This field must be filled out in the following format:

List Item 1^List Item 2^List Item 3
