You cannot edit a generated and approved invoice. If the invoice has not been paid, reversing an invoice is done by creating a credit note. If a company has paid or partially paid an invoice, you must void any payments before you can create a credit note from the invoice. For more information, see Voiding a cash or check payment. Otherwise, you can write off the remaining balance. For more information, see Writing off an invoice.
NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.
TIP: Use a credit note to reverse incorrect charges on an unpaid invoice. Use a write‑off only when a valid invoice is uncollectable.
After you create a credit note to reverse an invoice, Kube marks the invoice as Paid and the credit note as Allocated. You can view a credit note's allocation by clicking the three-dot additional options
button and selecting View Allocations from the menu.
NOTE: A credit note creates a customer credit (a negative balance) until it’s allocated or applied. However, when you create a credit note to reverse an unpaid invoice in Kube, the credit note is automatically allocated to that invoice. This clears the invoice and does not create a customer credit or a negative account balance.
Reversing an invoice using a credit note
Select Receivables in the top menu and select Invoices from the drop-down menu.
NOTE: If your organization does not use invoice approval, Kube hides the Approval Pending screen, and the Approved screen appears instead. If this is the case, skip to Step 3. For more information, see Turning invoice approval on or off.
TIP: You can also access invoices at the company level. Select Customers from the top menu, then Companies > select company > Billing > Invoices.
Select the Approved tab on the screen.
Click the additional options
button next to an unpaid invoice and select Credit Note from the drop-down menu. The New Credit Note screen appears.Complete the fields. See the end of this article for a screen reference.
Click Generate Credit Note.
