Using ySign Express to sign an agreement

The ySign Express service is the light version ySign that does not require a countersignature to activate a contract. ySign Express sends a web form to the member to review the terms of the agreement and electronically sign once they accept. This article describes the ySign Express process.

NOTES:

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • Some contract stages and tasks require approval before you can proceed. For more information, see Contract approval flow overview.

Starting the ySign Express process

  1. Select Customers from the top menu and then Contracts from the drop down. The contracts dashboard appears.

  2. Select a contract from the grid. The contract window appears.


    TIP: The contract must be in the In Progress stage for this next step to be available. If you need to create a contract, see Creating a contract.


  3. In the contract window, select Communicate from the side menu.

  4. Select the ySign Express radio button.

  5. Complete the fields. For field descriptions, see the end of this article.

  6. Click Send.

  7. The contract enters the In Progress (waiting on signature) stage.

Member ySign Express signing process

  1. The member receives the New ySign Express Request email. The member clicks the link in the email. The ySign Express Agreement form appears.

  2. The member reviews and completes the form. For field descriptions, see the end of this article.

  3. The member enters their name in the Electronic Signature field and clicks Add Signature.

  4. The contract enters the Pending Activation stage.


    TIP: If your organization uses the Auto Activation feature, allow 15 minutes for the contract to automatically activate. For more information, see Setting default contract options.


Starting ySign Express screen reference

Template

Select a ySign Express template from the drop down menu. For more information about designating a contract template for ySign Express, see Setting contract templates as ySign or ySign express templates.

Floor Plan Image

If a space is included in the contract, select whether you want to include the corresponding floor plan image. Click View to customize the view of the floor plan image the member receives.

NOTE: This option only appears if the space has been mapped to a Floor Plan Image. For more information, see Mapping spaces to a floor plan.

Authorized/ Other Signatories

Add signatories to send the contract to. You can add up to two signatories in either category.

TIP: Use the blue plus add button to add a signatory and the delete button to remove a signatory.

Use the Authorized Signatories to select members of the company.

Use the Other Signatories to add a signatory who is not a member of the company.

Link Expiration Time in Hours

Set the number of hours the ySign Express link is active before a new one needs to be sent. For more information about setting this time and its limit, see Setting default contract options.

NOTE: The ySign Express form shown here is for example only. Your organization's form may have more or fewer fields or may be customized to meet your country's requirements and language.

Payment Information

The member selects if they have payment information on file, if they would like to add new payment information, or if they do not have any to provide. If the member selects to add payment information, they are redirected to a secure form where they enter their information.

Terms

The member uses this section to download and view a copy of the PDF ySign Express template selected before the form was sent. If they agree to the terms, they use the selector box to indicate this and then add their Electronic Signature to complete the ySign Express process.
