Contract transfers

After you activate a contract, a company may need to move to a different space or transfer. Kube has two transfer options:

  • Internal transfers are when a company is moving to another space within the same property as their current active contract.

  • External transfers are when a company is moving to another space at a different property than their current active contract.

This article describes the steps for both options.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

Creating an internal transfer

Internal transfer considerations:

  • Amenities added by the package and amenity workflow are not displayed. Kube automatically runs the workflow again to add amenities and packages for the new spaces.

  1. Select Customers in the top menu and select Contracts from the drop-down menu.


    NOTE: If you need to create a contract, see Creating a contract.


  2. Locate the contract in the grid and click the additional options button and select Transfer. The Transfer From screen appears.

  3. Select a Transfer Date. The Transfer To defaults to the contract's current property.

  4. Use the select button to select which spaces are being transferred out of.

    1. In the Transfer To section, click the three dot additional options button to open the space pick list and select the space the company is moving to. Leave the space selection empty to remove the space from the contract.


      NOTE: Kube only shows spaces available between the Transfer Date selected and the current end date of the active contract.


      TIP: Below each space, Kube displays the security deposit amount of the old space and the new space. If the security deposit was paid, that paid amount is transferred to the new space as a credit note. For more information, see Security Deposit Scenarios.


    2. Below each space, select which linked amenities to transfer. These fields default to the current linked amenities. For more information about linking amenities to a space, see Linking an amenity to a space.

      1. Click the three dot additional options button to open the amenity pick list. Leave the amenity selection empty to remove the linked amenity from the contract; otherwise, leave the default or select a new amenity.

  5. Click Save.

  6. Kube creates an in progress contract amendment.

  7. Adjust the in progress amendment as desired, and complete the amendment activation. For more information about contract amendments, see Amending an active contract.

Creating an external transfer

External Transfer Considerations:

  • Individual spaces cannot be selected for an external transfer. When creating an external transfer, everything must be transferred.

  • Unlinked amenities cannot be transferred. They must be manually added to the new contract.

  • Amenities added by the package and amenity workflow are not displayed. Kube automatically runs the workflow again to add amenities and packages for the spaces at the new property. For more information about this workflow, see Adding an amenities and packages workflow.

  • The original contract cannot be changed nor a scheduled termination cancelled while there is an in progress or future active transfer.

    • To cancel an in progress external transfer, from the contract listing screen, click the three dot additional options button and select Cancel Transfer. This also cancels the scheduled termination on the original contract.

    • To cancel a future active external transfer, terminate the contract. This also cancels the scheduled termination on the original contract. For more information about terminating a contract, see Terminating a contract.

  1. Select Customers in the top menu and select Contracts from the drop-down menu.

  2. Locate the contract in the grid and click the additional options button and select Transfer. The Transfer From screen appears.

  3. Select a Transfer Date.

  4. Select a property in the Transfer To field. This field defaults to the contract's current property.

  5. Click the three dot additional options button to open the property pick list. Select the property the company is transferring to.


    NOTE: Only properties with the same currency as the original property appear in this list.


  6. Click the three dot additional options button to open the space pick list. Leave the space selection empty to remove the space from the contract.


    NOTE: Kube only shows spaces available between the Transfer Date selected and the current end date of the active contract.

  8. Click Save.

  9. Kube creates a new in progress contract.

  10. Adjust the new in progress contract as desired, and complete the activation. For more information about creating a contract, see Creating a contract.

  11. Once the contract is activated, Kube schedules the termination of the original contract for one day before the new contract's activation date.


    TIP: Use the View Transfer In Contract and View Transfer Out Contract links to access the different contracts being transferred.
