Adding a package amenity

Amenities are goods and services that your members and prospects can purchase from you, and a package amenity is a bundled group of amenities. This article covers adding a package amenity, but before you can add a package amenity, you must add the amenities you want to include in the package. NOTES:

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • You can add packages to package groups to organize them in the Prospect Portal. For more information, see Adding a package group.

  • You can choose to attach a Terms and Conditions PDF and an additional PDF to the confirmation email that members receive when purchasing this package. If you attach the same PDF to multiple packages and a member purchases multiple packages, they receive PDFs for each package they purchased.

Adding a Package Amenity

  1. Select Properties in the top menu.

  2. Locate the property in the grid and click the property's name. The Property Spaces screen appears.

  3. Select Setup in the side menu and select the Amenities tab.

  4. Click the Add button.

  5. Select Packages in the Type field.

  6. Complete the fields from the General Information, Pricing Information, Online Settings, Contract & Discounts, and the optional Advanced Options sections. For field descriptions, see the end of this article.

  7. Click Save.

Package Amenity Field Descriptions

General Section

Type

Select Package to add a package amenity.

CAUTION: You cannot edit this field after saving.

Name

Name of the amenity that your customers see.

Description

Description of the package amenity your customers see.

Charge Code

Charge code that charges for this amenity charge to.

NOTE: If the amenity price includes a setup fee or security deposit, you can select unique charge codes for those charges in the Advanced Options section. For more information about charge codes, see Default charge codes.

Icon

Small preset image that shows next to the amenity in Kube.

Quantity Controlled by Workflow

Select this option if the quantity of the amenity added to a contract should be controlled by the Amenities and Packages Workflow. For more information about this workflow, see Adding an amenities and packages workflow.

NOTE: When this option is enabled, internal users will not see the option to manually add the package to a contract.

Pricing Information Section

Show in Contract

Select whether the package is available in contracts.

NOTE: If a monthly package is part of an active contract, and this option is later switched to 'No', the amenity remains in the contract unless it is removed via a contract amendment and the amendment is activated.

Show in Open Charges

Select whether this amenity should appear to internal users who do not have permission to create open charges for all amenities. For more information about internal user settings, see Adding an internal user.

Occurrence

Whether the package is a one-time purchase or recurs monthly as part of a contract.

NOTE: If you select One-Time, Kube hides the Contract and Discounts fields in the Discounts and Amenities section. Furthermore, if you add this package to a contract in Kube, Kube uses the Occurrence selected here as the Occurrence in the contract.

Apply Tax

Whether the amenity is taxed.

NOTE: If you use Domestic Tax, you must add taxes to your property before you can add them to an amenity. For more information, see Adding a domestic tax code to a property.

If you use International Tax, this field does not appear. Instead, you can add tax rates in the System Settings section and apply them to GL codes instead of to individual amenities. For more information, see Adding an international tax rate.

TIP: You can add up to five tax codes to a single amenity. Select a tax code from the drop-down menu and click the Add button to add additional tax codes.

Online Settings Section

Add/Edit to Package Group

Select package groups to add the package to.

NOTE: Package groups organize your packages in the Prospect and Member Portal. For more information, see Adding a package group. This field does not appear if neither Show Online option has been selected.

Publish to ILS

Select whether you want the amenity to appear on Yardi Internet Listing Services you are subscribed to.

EXAMPLE: If you are subscribed to CommercialCafe®, select this option if the amenity should appear here when a prospect searches for and views your property.

ILS Amenity Category

Select the pre-defined amenity category the amenity appears as on Yardi Internet Listing Services (ILS). For example, if you have multiple amenities that fall under the Parking category, Yardi ILS displays Parking as the available amenity when the property listing is viewed.

This field only appears if the Publish to ILS option is selected.

Show Online

Select whether you want to sell the amenity à la carte in the Member Portal and/or the Prospect Portal.

NOTE: If you do not enable either option, Kube hides the rest of the online fields, as they do not apply.

Package Group

Select the package group or groups this package appears as a part of when viewed in the prospect and member portals. If you have not added a package group, see Adding a package group.

NOTE: A package must belong to at least one package group if Show Online has been enabled for either the prospect or member portals. If you are not ready to publish the package online, the package group can be unpublished. For information on publishing and unpublishing package groups, see Publishing and unpublishing package groups.

Purchase Options

Select whether customers can purchase the package online (Buy Now) or whether they must contact your property for more information (Inquire). If you select Inquire, Kube sends an email to the property's email address when a customer inquires about a package. For more information, see Inquire function overview.

NOTE: If your country does not support payment processing, Kube uses Bill Later for member charges. For more information, see Payment processing off overview.

Label

Enter the text you want to appear on the button.

NOTE: You can customize the text for the button. If you want your buttons to be consistent across your different amenities, choose the text you want to use for the Buy Now and Inquire buttons and use the same text for each option every time you create an amenity.

Show Price

Select whether you want to display the package price.

NOTE: Selecting 'No' automatically sets the purchase option to Inquire and vice versa.

Contract & Discounts Section

Contract + Discounts

How long a monthly package recurs and whether Kube applies a percentage discount to the package price. You can add multiple durations and discounts to this section to give your customers options when purchasing.

NOTE: If you select Yes for the Pay Full Term option, Kube applies the discount to the total package cost when the customer pays.

This section does not appear when you select One-Time in the Occurrence field in the Online Fields section.

Pay Full Term

For contracts that last two or more months, you can enable this option to require your members to pay the entire package cost up front.

Amenities Section

Quantity (QTY)

How many of the amenity Kube includes in the package.

Included in Package

Whether Kube includes the amenity in the package. You must select at least one amenity to include in the package.

CAUTION: If the package Occurrence is set to one-time, Kube does not show monthly amenities because you cannot add monthly amenities to a one-time package. Change the monthly amenity's occurrence to Monthly if you want to add it to a monthly package. You can revert your changes to the amenity after you add it to the package, if desired.

If you include voice amenities in the package, you must include at least one local phone number in the package.

NOTE: You cannot include two of the same type of configurable amenity. For example, you cannot include an amenity for 5 Member Hours and an amenity for 6 Member Hours in the same package.

Recommended Add-On

Whether Kube suggests the amenity as a recommended additional purchase to the member at the time they purchase the package. The member can choose whether or not to purchase the add-on items. If they do, Kube adds the cost of the add-on to the total package cost.

CAUTION: If the package Occurrence is set to one-time, Kube does not show monthly amenities because you cannot add monthly amenities to a one-time package. Change the monthly amenity's occurrence to Monthly if you want to add it to a monthly package. You can revert your changes to the amenity after you add it to the package, if desired.

Recommended Occurrence

For recommended add-on amenities, whether the add-on is a one-time purchase or recurs monthly as part of a contract.

NOTE: If an amenity is configured to be monthly, you cannot select One-Time. For more information about amenity occurrence, see Adding a standard amenity.

Advanced Options

Advanced Options

Expands the Advanced Options section, which includes custom charge codes and additional booking options.

Credit Charge Code

Charge code that credits (or negative charges) for the amenity charge to. This field defaults to the charge code selected in the Charge Code field above.

Setup Fee Charge Code

Charge code that setup fees for the amenity charge to.

NOTE: This field defaults to the charge code selected for setup fees in the System Settings section. If the amenity does not have a setup fee, this field does not appear. For more information, see Setting default system GL accounts and charge codes.

Security Deposit Charge Code

Charge code that security deposit charges for the amenity charge to.

NOTE: This field defaults to the charge code selected for security deposit charges in the System Settings section. You can only enter a security deposit charge code in this field. If the amenity does not have a security deposit, this field does not appear. For more information, see Setting default system GL accounts and charge codes.

Category

Choose a category for the package from the drop down. The package appears under this category when making a booking or purchase in the Prospect and Member Portals. Click the yellow plus (+) add button to add a new category.

Discount Charge Code

Charge code that discounts applied to the package charge to. This field does not show if the discount charge code service has not been activated.

Discount Charge Description

Defaults to the description assigned to the selected discount charge code. For more information on discount charge codes, see Setting discount charge codes.

Tax Offset When Sold Monthly

The monthly amount that is not taxed.

EXAMPLE: If 25.00 is specified in this field, and the total monthly amount of the amenity is 100.00, only 75.00 of that 100.00 will be taxed monthly.

Attach Identity Proof Form to Package

Whether Kube sends the package identity proof form uploaded on the Package Groups Essentials screen to your customers when they purchase this package.

NOTE: This form is used to verify a member's identity so that they can receive mail at your property. The form defaults to your country's standard form, if available. You can also upload your own form. For more information, see Uploading a custom identity proof form.

Use Master Terms and Conditions

Select whether you want your customer's to receive the property's default terms and conditions PDF or a customized PDF when purchasing this package.

NOTE: You can upload the property's terms and conditions on the Property Essentials screen. For more information, see Uploading property master terms of service.

Upload Custom PDF

Upload any additional PDF files you would like your customers to receive when purchasing this package. The additional attachment is included with the New Invoice email each time an invoice is generated that contains charges from the package.

NOTE: Only one additional PDF file can be uploaded.
