Amenities are products and services that your members and prospects can purchase from you. There are multiple types of amenities, and this article covers adding a standard amenity.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.
Adding a Standard Amenity
Select Properties in the top menu.
Locate the property in the grid and click the property's name. The Property Spaces screen appears.
Select Setup in the side menu and select the Amenities tab.
Click the Add button.
Select Standard in the Type field.
Complete the fields from the General Information, Pricing Information, Online Settings, and the optional Advanced Options and Advanced Booking Options sections. For field descriptions, see the end of this article.
Click Save.
Standard Amenity Field Descriptions
General Section
Type | Select Standard to add a standard amenity.
CAUTION: This field cannot be edited after saving. |
Name | Name of the amenity that your customers see. |
Description | Description of the amenity for internal use. |
Charge Code | Charge code that charges for this amenity charge to.
NOTE: If the amenity price includes a setup fee or security deposit, you can select unique charge codes for those charge types in the Advanced Options section. For more information about charge codes, see Default charge codes. |
Icon | Small preset image that shows next to the amenity in Kube. |
Quantity Controlled by Workflow | Select this option if the quantity of the amenity added to a contract should be controlled by the Amenities and Packages Workflow. For more information about this workflow, see Adding an amenities and packages workflow.
NOTE: When this option is enabled, internal users will not see the option to manually add the amenity to a contract. |
Pricing Section
Show in Contract | Select whether the amenity is available in contracts.
NOTE: If a monthly amenity is part of an active contract, and this option is later switched to 'No', the amenity remains in the contract unless it is removed via a contract amendment and the amendment is activated. |
Show in Open Charges | Select whether this amenity should appear to internal users who do not have permission to create open charges for all amenities. For more information about internal user settings, see Adding an internal user. |
Free Amenity | Whether the amenity is free or has a cost.
NOTE: If the amenity is free, Kube hides the rest of the pricing options listed below, as they do not apply to a free amenity.
TIP: If the amenity is free, Kube automatically includes the amenity in bookings at this property when you select the amenity on the Booking Amenities screen. Set the amenity price to $0 to allow customers to manually add the amenity to their booking at no cost and to edit the amenity quantity. For more information, see Selecting amenities to offer at time of booking. |
Occurrence | Whether the amenity is a one-time purchase or recurs monthly as part of a contract.
NOTE: If you select One-Time, Kube hides the Contract and Discounts fields in the Discounts and Amenities section. Furthermore, if you add this amenity to a contract in Kube, Kube uses the Occurrence selected here as the Occurrence in the contract. |
Tiered Pricing | Tiered pricing allows you to set different prices based on the amenity quantity. If selected, you can add new tiers by clicking the Add Tier button.

Apply Tax | Whether the amenity is taxed.
NOTE: If you use Domestic Tax, you must add taxes to your property before you can add them to an amenity. For more information, see Adding a domestic tax code to a property. If you use International Tax, this field does not appear. Instead, you can add tax rates in the System Settings section and apply them to GL codes instead of to individual amenities. For more information, see Adding an international tax rate.
TIP: You can add up to five tax codes to a single amenity. Select a tax code from the drop-down menu and click the Add button to add additional tax codes. |
Online Settings Section
Publish to ILS | Select whether you want the amenity to appear on Yardi Internet Listing Services (ILS) you are subscribed to.
EXAMPLE: If you are subscribed to CommercialCafe®, select this option if the amenity should appear here when a prospect searches for and views your property.
NOTE: This option cannot be used with Tiered Pricing where applicable. |
ILS Amenity Category | Select the pre-defined amenity category the amenity appears as on Yardi Internet Listing Services (ILS). For example, if you have multiple amenities that fall under the Parking category, Yardi ILS displays Parking as the available amenity when the property listing is viewed.
This field only appears if the Publish to ILS option is selected. |
Show Online | Select whether you want to sell the amenity à la carte in the Member Portal and/or the Prospect Portal.
NOTE: If you do not enable either option, Kube hides the rest of the online fields, as they do not apply. |
Purchase Options | Select whether customers can purchase the amenity online (Buy Now) or whether they must contact your property for more information (Inquire). If you select Inquire, Kube sends an email to the property's email address when a customer inquires about an amenity. For more information, see Inquire function overview.
NOTE: If your country does not support payment processing, Kube uses Bill Later for member charges. For more information, see Payment processing off overview. |
Label | Enter the text you want to appear on the button.
NOTE: You can customize the text for the button. If you want your buttons to be consistent across your different amenities, choose the text you want to use for the Buy Now and Inquire buttons and use the same text for each option every time you create an amenity. |
Show Price | Select whether you want to display the amenity price.
NOTE: Selecting 'No' automatically sets the purchase option to Inquire and vice versa. |

Advanced Options
Credit Charge Code | Charge code that credits (or negative charges) for the amenity charge to. This field defaults to the charge code selected in the Charge Code field above. |
Setup Fee Charge Code | Charge code that setup fees for the amenity charge to.
NOTE: This field defaults to the charge code selected for setup fees in the System Settings section. If the amenity does not have a setup fee, this field does not appear. For more information, see Setting default system GL accounts and charge codes. |
Security Deposit Charge Code | Charge code that security deposit charges for the amenity charge to.
NOTE: This field defaults to the charge code selected for security deposit charges in the System Settings section. You can only enter a security deposit charge code in this field. If the amenity does not have a security deposit, this field does not appear. For more information, see Setting default system GL accounts and charge codes. |
Category | Choose a category for the amenity from the drop down. The amenity appears under this category when making a booking or purchase in the Prospect and Member Portals. Click the yellow plus (+) add button to add a new amenity category. |
Discount Charge Code | Charge code that discounts applied to the amenity charge to. This field does not show if the discount charge code service has not been activated. |
Discount Charge Description | Defaults to the description assigned to the selected discount charge code. For more information on discount charge codes, see Setting discount charge codes. |
Tax Offset When Sold Monthly | The monthly amount that is not taxed.
EXAMPLE: If 25.00 is specified in this field, and the total monthly amount of the amenity is 100.00, only 75.00 of that 100.00 will be taxed monthly. |
Advanced Booking Options
Automatically Match Amenity Quantity with Number of Attendees | If enabled, Kube adjusts the amenity quantity in a booking to match the number of attendees listed in the booking.
NOTE: Unless the Allow Manual Override of Amenity Quantity option is also enabled, the operator, member, or prospect making the booking cannot manually adjust the amenity quantity. |
Allow Manual Override of Amenity Quantity | If enabled, the operator, member, or prospect making the booking can manually adjust the amenity quantity above or below the number of attendees, should the amenity quantity be set to automatically match the number of attendees when the Automatically Match Amenity Quantity with Number of Attendees setting is enabled.
NOTE: The number of attendees cannot exceed the space's occupancy. For more information about setting space occupancy, see Adding a space. |
Enable Price Based on Booking Duration | If enabled, Kube adjusts the price of the amenity based on the duration of the reservation. You can choose the hourly price of the amenity and what fractions of the amenity you are willing to sell per hour (a 1/4 of the amenity every 15 minutes or 1/2 of the amenity every 30 minutes). You can also include a setup cost per unit, which adjusts in the same way the amenity price does.
CAUTION: 15- and 30-minute durations work best with amenities that are not physical items. For example, let's say a water bottle amenity has an hourly unit cost of $1.00 and was configured to sell in 15-minute increments. If a member made a 1 hour and 15 minute booking, they would pay $1.25 for the booking, but they should receive two water bottles because you cannot physically give them 1/4 of a water bottle. You would need to round the fraction of a water bottle up to the next full water bottle, even though the member only paid for 1 1/4 water bottles.
If the Automatically Match Amenity Quantity with Number of Attendees is enabled, Kube adjusts prices based on booking duration for each attendee.
NOTE: If you select 15-minute or 30-minute increments, Kube divides the hourly booking cost by the selected increment and charges that fraction of the cost for every increment of time. Kube rounds to the next largest enabled increment of time if the duration of a booking does not align with the increment an amenity is configured to use.
For example, if you select 15-minute increments, Kube sells 1/4 of the amenity every 15 minutes. Let's imagine that the unit price per hour of parking costs $20 and is set to adjust in 15-minute increments. Every fifteen minutes, the member pays $5 for a 15-minute increment of parking. As such, if a member makes a booking for 45 minutes, they will pay $15 for parking (three 15-minute increments at $5 each).
If you select 30-minute increments, Kube sells 1/2 of an amenity every 30 minutes and rounds 15-minute bookings up to the nearest half hour. Again, let's imagine that the unit price per hour of parking costs $20, but this time it is set to adjust in 30-minute increments. Every 30 minutes, the member pays $10 for a 30-minute increment of parking. If the member made the same 45-minute booking, they would pay $20 for parking because Kube rounds the 45-minute booking up to the next half hour (two 30-minute increments at $10 each).
If you select hourly, Kube sells one of the amenity per hour. For a 45-minute booking, the member would pay the full hourly unit price because Kube rounds the 45-minute booking up to the next full hour. |
