Adding a company auto attendant menu

An auto attendant is an amenity that functions as an automated answering service that presents callers with menu options they can select from to connect to members or departments. To use an auto attendant, you must add an auto attendant menu in Kube. You can include submenus for each main menu item to give callers additional options.

NOTES:

  • If your organization has not purchased Yardi Kube Voice, Kube does not show voice information.

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • To use an auto attendant, you must also upload an auto attendant announcement that explains the menu to callers. For more information, see Adding a company auto attendant audio announcement.

  • You can also add submenus to link to from the main auto attendant menu. Adding a submenu follows the same process described in this article. Click the Submenus button on the Auto Attendant Profile screen.

To add a company auto attendant menu

  1. Select Customers in the top menu and select Companies from the drop-down menu.

  2. Locate the company in the grid and click the company's name. The Company Overview screen appears.

  3. Select Voice in the side menu and select the Auto Attendants tab.

  4. Locate the auto attendant in the grid and click the auto attendant's name.

  5. Click the Edit button.

    2. Complete the Business Hours, After Hours, and Holiday Hours and select the dialing options in the Menus section. See the end of this article for a screen reference

  6. Click Save.

Scope of Extension Dialing

Select the scope of extensions the auto attendant can transfer to.

Enterprise: Set this option if the auto attendant should be allowed to dial extensions from any company with voice services in your organization.

Group: Set this option to limit the auto attendant to only voice services within its assigned company.

Department: Set this option to limit the auto attendant to departments assigned voice services within its assigned company.

Scope of Name Dialing

Select the scope of voice assigned members that the auto attendant can transfer to.

Enterprise: Set this option if the auto attendant should be allowed to dial by name from any company with voice services in your organization.

Group: Set this option to limit the auto attendant to only voice services within its assigned company.

Department: Set this option to limit the auto attendant to departments assigned voice services within its assigned company.

Name Dialing Entries

When a caller searches for a voice member, set whether they enter the last name or the first name first.

CAUTION: These settings are inherited from the system settings, and it is not recommended to make changes to this section.

Menu Settings

Business Hours Greeting

Select whether you want to use Kube's default audio announcement greeting that states that the caller has reached an auto attendant (Default) or a custom announcement you upload (Personal Greeting).

NOTE: When you select Personal Greeting, you must select an announcement in the Audio field that appears. For more information about uploading audio announcements, see Adding a company auto attendant audio announcement.

Audio

When you select Personal Greeting in the Business Hours Greeting field, you must select an audio announcement that the auto attendant plays for callers.

This field only appears if you select Personal Greeting in the previous setting.

Enable First-Level Extension Dialing

Enable this option to allow callers to enter member extensions at any time while the auto attendant greeting plays.

After Hours

Business Hours

Select the business hours for the auto attendant. The After Hours auto attendant is used outside of the selected business hours.

NOTE: This field only shows on the After Hours tab. If you need to change your voice business hours, contact Yardi technical support.

Holiday Hours

Holiday Hours

Select the holiday hours for the auto attendant.

NOTE: This field only shows on the Holiday Hours tab. If you need to change your voice holiday hours, contact Yardi technical support.

Name of the menu item.

Action

How Kube transfers the caller when they select the menu option:

  • Transfer with Prompt: Transfers the caller to the selected phone number and alerts the caller that they are being transferred. You must enter a phone number in the Action Data column.

  • Transfer without Prompt: Transfers the caller to the selected phone number without alerting the caller that they are being transferred. You must enter a phone number in the Action Data column.

  • Transfer to Operator: Transfers the caller to the selected phone number. You must enter a phone number in the Action Data column.

  • Transfer to Submenu: Transfers the caller to another menu with additional menu selection options. You must select a submenu in the Action Data column.

  • Name Dialing: Allows the caller to enter a member's name to connect to their extension. You can select whether the caller must enter the first name or last name first in the Auto Attendant Profile Information fields. For more information, see Configuring company auto attendant settings.

  • Extension Dialing: Allows the caller to enter a member's extension to connect to that member. You can also enable extension dialing at any time in the Menu Options field on each Hours tab.

  • Play Announcement: Plays an announcement. You must select an announcement in the Action Data field. For more information, see Adding a company auto attendant audio announcement.

  • Repeat Menu: Repeats the auto attendant audio announcement from the beginning.

  • Exit: Ends the call.
