Adding a notice to vacate

A notice to vacate (NTV) is the written agreement between your organization and the member that the member will no longer be occupying a space by a certain date. You can add an NTV to any active contract to track when a member approaches the property contact about discontinuing their contract. Kube allows you to choose between two notice types: Space and Termination.

When selecting a space notice, the internal user reviewing NTVs has the option to amend the contract to either add a different space, remove the space, or take no action against the notice.

When selecting a termination notice, the internal user reviewing NTVs has the options to schedule a termination, select a different NTV date, or take no action.

This article describes adding both types of notices.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.

Adding a Notice to Vacate: Termination Notice

NOTE: The contract must be active to complete the steps in this article. If you have not created a contract, see Creating a contract.

  1. Select Customers in the top menu and then Contracts from the drop-down menu.

  2. Locate the contract in the grid and click the contract's name. The Summary screen appears.

  3. Select Notice to Vacate in the side menu.

  4. Select Termination Notice.

  5. Complete the fields. For field descriptions, see the Notice to Vacate: Termination Notice at the end of this article.

  6. Click Save Notice.

  7. Kube adds the activity to the History section of the Notice to Vacate menu of the contract window.

Adding a Notice to Vacate: Space Notice

NOTE: The contract must be active to complete the steps in this article. If you have not created a contract, see Creating a contract.

  1. Select Customers in the top menu and then Contracts from the drop-down menu.

  2. Locate the contract in the grid and click the contract's name. The Summary screen appears.

  3. Select Notice to Vacate in the side menu.

  4. Select Space Notice.

  5. Complete the fields. For field descriptions, see the Notice to Vacate: Space Notice at the end of this article.

  6. Click Save Notice.

  7. Kube adds the activity to the History section of the Notice to Vacate menu of the contract window.

TIP: The Term column on the contracts dashboard adds a Pending NTV flag to contracts whose NTVs have not had any action taken against them. You can also filter for space and termination notices from the Move Out & Pending Tasks tile. For more information, see Contracts Dashboard overview.

Notice to Vacate: Termination Notice

Notice Date

Select the date the property was notified by the member of their intention to leave.

TIP: The text updates to red if the date selected is after the listed deadline date. This validation is for reference only, and the date can still be selected.

Move Out Date

Select the date between the current date and the current contract move out date.

TIP: This is the date used to auto-populate the scheduled termination date. For more information, see Notice to vacate options.

Member

Optionally, select which member is providing the notice.

Comments

Enter any comments related to the NTV.

History

Activity related to the NTV appears in this section.

Notice to Vacate: Space Notice

Date

Select the date the property was notified by the member of their intention to leave.

Move Out Date

Select the date between the current date and the current contract move out date.

Space

Select the space or spaces the NTV is for.
