Email campaigns are a bulk email feature that allows you to communicate upcoming events, announcements, marketing campaigns, or various other topics to multiple members across different properties at one time. This article covers creating an email campaign.
NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.
Creating an email campaign
Select Customers in the top menu and Email Campaigns from the drop down.
The Email Campaigns Dashboard appears.
Click Add. The New Campaign window appears.
Complete the Email Content fields. For field descriptions, see Email Content Field Descriptions at the end of this article.
Click Save & Continue. The Attachment tab appears.
Drag and drop files onto the file uploader or click the uploader to select your files. Kube automatically uploads added files. Click Save & Continue.
NOTE: Supported files include: PDF, XLS, XLSX, DOC, DOCX, JPG, JPEG, and PNG
The Audience tab appears. Complete the fields. For field descriptions, see Audience Field Descriptions at the end of this article.
Click Save & Continue. The Schedule tab appears.
Complete the fields. For field descriptions, see Schedule Field Descriptions at the end of this article.
Click Schedule.
TIPS:
Click on Test to send a preview of the email to yourself. A prompt for an email address appears when clicked.
Click on the tabs in the side menu to return to that page to make changes.
Email Content Field Descriptions
Campaign Name | Campaign name that makes it easily identifiable on the Email Campaigns Dashboard. For more information, see Email Campaigns Dashboard overview. |
Subject | Subject line recipients of the email campaign see in their mail client. |
From Name | Name recipients of the email see in the From field of their mail client. |
Category | Select the category the email campaign falls under. For more information about email campaign categories, see Adding an email campaign category. |
Template | Select a Custom email template from the drop down menu. A preview of the custom email template appears in the Content section. For information on creating a custom email template, see Reviewing and editing email templates.
TIP: Selecting a template automatically populates the Subject, From Name, and Reply To fields.
CAUTION: The custom template selected may contain tokens that are not supported by the email campaign. Compare the tokens of the custom email template to those available in the Insert Data Field drop down found in the Content section. Incompatible tokens either appear as blank spaces or the token name when the email is received by the recipient. |
From Email Address | Email address set up in the System Settings that members see on all outbound emails sent from Kube. For more information on setting up a custom From email address, see Setting default email template options. |
Reply To | Email address that mail clients use if a member replies to the email. |
Show notification in member portal? | Select whether a notification should appear in a member's notification menu in the member portal. |
Content | Enter the contents of the email.
NOTE: If a template has been selected, the template's contents are displayed in this area. |
Audience Field Descriptions
Audience Name | A short description of the members being sent the campaign. Used for internal reference. |
Type | Select the types of members the email campaign should be sent to. For more information on adding user types, see Adding a user and company type. |
Member Property | Some members have a different primary property from their company. If only members of a certain property should receive the campaign, select a property or properties in this field.
NOTE: Leave this field empty if the email should be sent to all members with no property restriction. |
Company Property | Select the property or properties the email campaign should be sent to. This field filters for the company's primary property and sends the email to all members within that company.
NOTE: Leave this field empty if the email should be sent to all companies with no property restriction. |
Exclusions | Select members who should not receive the email regardless of property selection, type, or marketing email status. |
Marketing Campaign | Select Yes if the email campaign can be categorized as marketing. If 'Yes' is selected, the email campaign is not sent to members who have opted out of marketing emails. If 'No' is selected, the email campaign is sent to all members based on the previous selections, excluding members selected in the Exclusions field. |
Audience Category | Select whether the email campaign should only be sent to the primary member contacts in a company or all member contacts in a company. |
Membership Type | Select the membership type a member should have to receive the email campaign |
Member Property Floor | Select the floor a member should be associated with to receive the email campaign.
NOTE: This field only appears if a property has been selected in the Member Property field. This field does not appear if multiple properties have been selected. Additionally, when this field is used, the email campaign only sends to members who have a booking or active contract for a space on the selected floor on the day the campaign is scheduled to send. |
Company Property Floor | Select the floor a company should be associated with to receive the email campaign.
NOTE: This field only appears if a property has been selected in the Company Property field. This field does not appear if multiple properties have been selected. Additionally, when this field is used, the email campaign only sends to members who have a booking or active contract for a space on the selected floor on the day the campaign is scheduled to send. |
Send to Archived Members | Select whether the email campaign should be sent to members who have been archived. |
Send only to Wi-Fi Enabled Members | Select this option if you are sending Wi-Fi credentials for a newly established property.
NOTE: This option is used for newly created properties that have just had Wi-Fi configured. For more information or assistance, reach out to Yardi technical support. |
Additional Recipients | Enter up to 20 external email addresses.
NOTE: The To field in a member's mail client shows the name of the operator's SPOC when sending to external recipients. However, this information may vary based on a member's mail client. |
Schedule Field Descriptions
Date | Select the date the email campaign is sent. |
Time Zone | Select the time zone. |
Time | Select the time the email campaign is sent. |
Summary | Displays the number of members that will receive the email campaign based on the criteria selected in the Audience menu and the date the email campaign will be sent. |
