A member hours/credits amenity requires configuration, or assignment to a specific member. Data/Wi-Fi and voice amenities also require configuration, so you may have multiple amenity types to configure at one time. This article explains configuring a member hours/credits amenity.
Once you complete the amenity configuration process, members you add on the Amenity Configuration Members screen or leads you assign amenities to become members of the company whose amenities you configured.
NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.
Booking access groups and booking hours/credits address different parts of the booking experience. Booking access groups control when members can book spaces. Hours and credits are booking units that determine how much time members can book and are created through contracts and configured as amenities. Before you begin
Before you can configure member hours or credits amenities, the amenity must already be included in an active contract. Kube only allows configuration for amenities that have been purchased and added to a contract through an order. If the hours or credits amenity is not on the contract, it will not appear on the Amenity Configuration screen, and configuration cannot begin.
If needed, add the member hours or credits amenity to a new or amended contract first. After the contract is activated, Kube prompts you to configure any new or updated amenities.
Configuration timeline
Members and prospects can purchase configurable amenities through the Prospect and Member Portals. When a member or prospect completes their purchase, they have the option of configuring their amenities then or waiting. If they do not complete the configuration, you will need to complete the configuration on the Amenity Configuration screen.
When you create a contract that includes configurable amenities or when you add a charge for a member hours/credits amenity, you have the option of configuring amenities immediately after you activate the contract. Kube also prompts you to immediately configure amenities after amending a contract if you added new configured amenities or if you removed any configured amenities that were in the original contract. If you removed configured amenities, you will terminate those amenities when you complete the amenity configuration process.
If you decline configuration when prompted, you can complete configuration later on the Amenity Configuration screen of the property tied to the order. This article directs you to the Amenity Configuration screen to start your configurations.
NOTE: An order is a collection of all charges made at one time. All orders with New statuses include amenities that require configuration.
Configuration status
On the Amenity Configuration screen, Kube lists amenity configurations by order. All orders with New status require configuration. Once you finish a configuration, click the status name to update the status to Pending, Completed, or Cancelled.
To configure member hours/credits amenities
Select Properties in the top menu.
In the grid, locate the property tied to the amenity configuration and click the property's name. The Property Spaces screen appears.
Select Amenity Configuration in the side menu.
In the grid, locate the order that includes the amenities you want to configure and click the Order ID number. The Members tab appears.
NOTE: If you do not see an Order ID in the grid, verify that the related contract is activated. Orders appear only after a contract is active. If the contract is in Draft or Pending status, activate it before continuing.
The Hours configuration screen appears. Complete the fields.
Click the Termination button next to the members whose member hours/credits you want to terminate. If there are no terminations to complete, skip this step.
TIP: Kube lists total pending activations and terminations at the top of the screen.
Select a member or lead to assign each amenity to by either entering the member's name in the Select Member field or by clicking the Additional Options button to select the member from the list.
Click Save and Finish.
NOTE: Hour and credit balances are displayed on the Groups & Hours/Credits screen at both the company and member levels.
The company level shows hours or credits that apply company-wide.
The member level shows hours or credits specific to an individual member.
If a contract or amendment has a future start date, the totals on the Groups & Hours/Credits screen remain unchanged until the contract or amendment becomes active.
Kube does not prorate hour or credit balances for contracts or amendments that start mid-month.
