Adding a ySign workflow

ySign allows internal users and your customers to electronically sign contracts. You can create ySign workflows in Kube to determine when you require contracts to be signed and whether you require internal users to sign contracts upon receipt. This article describes adding a ySign workflow. For more information about how ySign works, see Using ySign to sign a contract.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.

To add a ySign workflow

  1. Select your Personal Profile in the top menu.

  2. Select System Settings from the drop-down menu. The Operator Details screen appears.

  3. Select Workflows in the side menu and select the ySign tab.

  4. Click the Add button in the Operator Level ySign Requirements section.


    CAUTION: Only one system level ySign Workflow can be created. If a system level workflow already exists, only property level ySign workflows can be added. Properties that do not have a ySign workflow created use the system level. If a system level workflow does not exist, ySign does not appear as an option at the properties where no ySign workflow has been configured.


  5. Complete the fields. See the Add ySign Requirement screen reference below for field details.

  6. Click Save.

Countersignature Required for Activation

Select 'Yes' if a client signature and internal user countersignature are required before a contract can be activated. Select 'No' if the contract can be activated without an internal user's countersignature.

NOTE: This option cannot be modified once the workflow is saved.

Only Allow Defer and Activate

Select this option if internal users not set as countersigners should be allowed to activate a contract, but not before they Defer and Activate the ySign workflow. This allows a contract to be activated without a countersignature, but keeps the ySign workflow active, so the contract can be countersigned at a later time. The Activate button remains inactive until defer and activate is selected for the ySign workflow.

Leave this option deselected if the Activate button should be active regardless of the contract's ySign workflow status.

NOTE: This option only appears if Countersignature Required for Activation is set to 'No'.

Can countersign?

Select whether the internal user is allowed to countersign a contract or upload a signed PDF instead. This setting controls the Can skip online countersign? option.

Can skip online countersign?

Select 'Yes' if the internal user countersigning is allowed to upload a signed contract PDF instead of using ySign to countersign. Select 'No' if the internal user countersigning is required to use ySign to complete the countersignature and is not allowed to activate the contract until signed.

Can defer and activate?

The defer and activate feature allows for a countersignature after contract activation. Select 'Yes' if the internal user countersigning is allowed to activate the contract without a countersignature. This option allows another internal user to countersign at a later time.

Select 'No' if the countersigner cannot activate the contract until the contract is countersigned.

NOTE: This option only appears if Countersignature Required for Activation is set to 'Yes'.
