Customizing role permissions

Roles help you match an internal user's responsibilities in your organization with the information they have access to in Kube. A role includes a set of permissions that control the individual pages and tasks internal users can access. After you add a role, you can customize the role's permissions to suit your organization's access needs. This article explains customizing permissions. Sometimes Kube displays one screen's data in multiple places (for example, data on the Open Charges screen can also be viewed on the Company > Billing > Open Charges screen). In these cases, Kube uses the permissions you set on the main screen (Open Charges) to control the permissions on any other screens that display that screen's data (Company > Billing > Open Charges). If multiple tabs share the same permissions, they are combined into a single tab.

NOTE: You cannot customize permissions for the six default roles (Owner, Property Admin, Receptionist, Accountant, Sales, and IT), but you can view the permissions for each role.

TIP: If you use Voyager, you can set user permissions in Voyager as well. The internal user you set permissions for must log out and log back in to Kube for the permissions to take effect in Kube. For more information, see "Permissions" in the Yardi Voyager Core Administration Guide.

Permission types

When you customize permissions, you can give users the following access to pages, tabs, and elements:

  • Full Access: Kube gives internal users access to the page and any tabs and elements on the page.

  • No Access: Kube hides the page, its tabs, and elements.

  • Custom: Kube allows you to manually select permissions for the page's tabs and elements (see the Permission levels section below for more information).

Permission levels

You can assign permissions for entire pages, individual tabs on a page, and individual elements on a page or tab. When you select a permission for a page, the page's tabs and elements inherit the permission. When you select a permission for a tab, all elements on that tab inherit the permission.

Kube displays permission selectors in each of the following sections:

  • Page: Access for the entire page, tabs, and elements included. If you select Full Access or No Access, Kube bulk updates all tabs and elements to the selection you make. If you select Custom, Kube sets all tabs and elements to Full Access and allows you to manually select a permission for each tab and element on the page.


    TIP: Some pages include elements on the main page, in addition to tabs with their own elements. In this case, your page permission selection updates the main page elements in the same way as described above.

    If a page does not have tabs or elements, select Full Access or No Access to control whether internal users can access the page or not.

    You must enable at least one element on the Dashboard page.


  • Tabs: If there are tabs on a page, the accesses for each individual tab. Tabs inherit their permissions from the page permission. If the page permission is set to Custom, you can edit each Tab permission.

  • Elements: Access for individual parts of a page or tab. Elements inherit their permissions from the page they are on (for elements on a main page) or the tab they are on (elements on a tab). If the main page or tab permission is set to Custom, you can select Full Access or No Access for each element.

To customize role permissions

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Details screen appears.

  2. Select the Security tab then the Permissions tab.

  3. Use the Menu and Page columns to locate the page you want to customize permissions for. Click the row where it intersects with the Role column you want to customize permissions for.


    TIP: The Edit Role screen header displays the menu, page, and role you are currently editing.


  4. In the Page section, select the access you want all the tabs and elements on the page to have.


    TIP: Select Full Access or No Access to bulk update all the tabs and elements to the selected option. Select Custom to customize each tab and element permission.


  5. If you selected Custom in the Page section and the page has elements on the main page or tabs, select the permission for each main page element and tab.


    TIP: For tabs, select Full Access or No Access to bulk update all the tab's elements to the selected option. Select Custom to customize access for each of the tab's elements.


  6. If you selected Custom in a Tab section, select Full Access or No Access for each element on the tab.

  7. Click Save.
