Reviewing and editing a payment

After adding a payment, you can review the payment details at any time. For cash and check payments, you can edit certain payment details. You cannot edit ACH, credit, or debit payments.

NOTES:

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • When you edit a cash or check payment, you cannot edit the payment company, amount, or account the payment posted to. To edit these fields (or to make changes to an ACH, credit, or debit payment), void the payment and add a new payment. To review and edit a payment

  1. Select Receivables in the top menu and select Payments from the drop-down menu.

  2. To review a payment, locate the payment in the grid and click the payment.

    1. To see more details about the payment, click Expand All at the top right of the payment section.

  3. To edit a cash or check payment, locate the payment in the grid and click the payment.

    1. Click the Edit button .

    2. Complete the fields. For field descriptions, see the Payment Information Screen Reference at the end of this article.

    3. Click Save.

Payment Reference

Optional field used for your records.

NOTE: Information that you enter in the Payment Reference field shows on the Payments screen in the Payment Reference column. You cannot edit this field for ACH, credit, and debit payments.

Total Amount

Total amount of the payment.

NOTE: You cannot edit this field.

Display Type

If you use intercompany billing, select whether intercompany billing is enabled for this transaction (select the Standard or Kube option to disable intercompany billing).

NOTE: Kube populates this field with the default display type selected when setting up intercompany billing, but you can override the default setting for this transaction. For more information, see Turning on intercompany billing.

This field does not appear if you do not use intercompany billing.

Funding Entity

If you enable intercompany billing in the Display Type field, select the funding entity used for this transaction.

NOTE: You cannot edit this field.

This field does not appear if you do not use intercompany billing or if you select the Standard option in the Display Type field.

Card Digits

For credit and debit card payments, the last four digits of the card used.

Payment Date

Date the payment was made.

Cash Account

Cash account funds posted to.

NOTE: You cannot edit this field.

Post Month

Accounting month that payment posts to.

NOTE: You cannot edit this field.

Notes

Optional field where you can enter notes about the payment.

NOTE: Information that you enter in the Notes field shows on the Payments screen in the Notes column.

Bank

Bank the payment was deposited at.

NOTE: You cannot edit this field. This field only shows if the payment was deposited.

Deposit Number

Reference number of the bank deposit the payment was included in.

NOTE: You cannot edit this field. This field only shows if the payment was deposited.
